One System Of Record.
Run For You.
Production, inventory, purchasing, scheduling and the visibility management reads — in one system instead of five and a spreadsheet. We map it in a paid discovery, deliver a useful first phase, then run it under a monthly managed service with a defined support allowance. Built custom around how you work, or implemented on Odoo or ERPNext when that fits better, and integrated with the accounting and payroll you keep.
Four parts, each paid on its own
Implementation is paid up front or at milestones. The monthly fee runs the system; it never finances the build.
What Does ERP Implementation and Managed Support Include?
ERP implementation puts production, inventory, purchasing, scheduling and operational visibility into one system of record. AltaPro AI runs a paid discovery, delivers a useful first phase, then operates the system under a monthly managed service covering hosting where agreed, monitoring, backups, security updates and a defined support allowance. The system is built custom around the client's workflows or implemented on Odoo or ERPNext, integrated with the accounting and payroll tools the client keeps.
- Paid discovery
- Phased implementation
- Custom build or Odoo / ERPNext
- Accounting and payroll integrated
- Monthly managed service
- Enhancements scoped separately
Four Parts. Each One Written Down.
An ERP is a long relationship, so the shape of it is agreed before the first phase starts: what discovery produces, what each implementation phase delivers, what the monthly service covers, and what counts as new work.
Paid discovery
Requirements, data, integrations and the implementation phases mapped before anything is built. The output is a written plan you can act on with us or without us: what the first phase covers, what it connects to, what moves over from the old system and in what order.
Phased implementation
A useful first phase goes live on its own — the module or workflow that unblocks the most — then each addition is scoped, priced and approved separately. Implementation fees are invoiced up front or at milestones, so the build is never financed through the monthly fee.
Monthly managed service
Hosting where agreed, monitoring, backups, security updates and a defined monthly support allowance stated in hours, with a named owner on our side. Predictable for you and sustainable for us because the limits are written down.
Enhancements, scoped separately
New modules, new integrations and major changes are their own line of work with their own approval. The managed service keeps the system running; enhancements grow it. Keeping the two apart is what keeps the monthly fee honest.
How Many Canadian Businesses Run on One Connected System?
Cloud software is now the most common business technology in Canada. Systems that exchange data with each other automatically are still rare — which is what an ERP implementation exists to change.
48%
Share of Canadian businesses with five or more employees that used cloud computing in 2023, the most common technology in the survey.

9%
Share of Canadian businesses with five or more employees that used electronic data interchange (EDI) over the internet in 2023, down from 11% in 2021.

Build It Around You, Or Fit You Into Odoo Or ERPNext.
Both are real options and discovery decides between them with reasons. What stays the same on either route: the accounting and payroll tools you trust stay in place and get fed by the system, your data stays yours, and the same team runs it afterwards.
Build it around your workflows
A custom operational system shaped to how your business already runs — production, inventory, purchasing, scheduling and the visibility management reads — integrated with the accounting and payroll tools you keep. The right route when the way you work is the advantage and an off-the-shelf model would flatten it.
Operational softwareImplement an established ERP
Odoo or ERPNext implemented, configured and customised to your operation when its model already fits most of what you do. We handle the implementation, the customisations and the integrations, and we run it afterwards under the same managed service.
Systems integrationWhy implementation is its own line: Odoo
Odoo's own pricing page lists implementation services, hosting for custom developments and maintenance of custom code as separate from the subscription.

Why implementation is its own line: ERPNext
Frappe's ERPNext pricing page states that cost has two components, hosting and implementation, and that Frappe itself provides no implementation services directly.

One Job Through The System, Keyed Once.
A work order moves through the floor, stock is committed and reconciled, a shortage becomes a purchase order, and the result lands in accounting and payroll on its own. Fourteen seconds, four modules.

A work order moves through the floor. The office sees each stage the moment it is done.
Built in code, not a recording. Sample data for illustration — not a live product.

The Floor, The Stockroom And The Purchase Order.
For a manufacturer, fabricator or distributor the first phase is the operational core: the work, the stock, what was bought for it and where it all stands. Finance and payroll stay on the systems your accountant already works in, fed by the ERP.
Finished-goods production
Work orders, bills of materials, routings and the status of every job on the floor, in one record the office and the floor both read.
Inventory
Raw material, work in progress and finished goods counted once, committed against orders, and reconciled rather than rediscovered at month end.
Purchasing
Requisitions, purchase orders, receiving and supplier records tied to the jobs that consumed them, so cost lands where it belongs.
Scheduling
Capacity against demand by work centre, with the knock-on effect of a late delivery or a rush order visible before it becomes a phone call.
Operational visibility
Where every order stands, what is late, what is short and what it cost — read live by management instead of rebuilt in a spreadsheet each month.
Accounting and payroll, integrated
Invoices, bills, payroll and the general ledger run on the accounting and payroll systems you already trust, fed by the ERP so nothing is keyed twice.
The ERP In The Middle. Everything Else Stays.
Pick a system to see what flows into the ERP and what the ERP sends back. Accounting, payroll, the floor, your suppliers and your storefront keep doing their jobs — fed by one record instead of five re-keyed ones.
Accounting and ERP
QuickBooks, Sage or Xero — the ledger you keep
Into the ERP
- Customer and supplier lists
- Payment status
- Chart of accounts
Out to Accounting
- Customer invoices
- Supplier bills matched to receipts
- Inventory valuation by period
Typical flows, not a finished connector. Discovery sets which system owns each field and what happens when a handoff fails. The accounting and payroll tools named are examples of platforms we build against.
Running It Is The Relationship.
Go-live is the start, not the end. The managed service keeps the system healthy, current and supported every month, with the limits written into the agreement so both sides know what the fee buys.
Anything larger than the allowance — a new module, a new integration, a major change — becomes a scoped enhancement with its own approval. That separation is what lets the monthly fee stay the same from one month to the next.
Hosting where agreed
On the vendor's cloud, on a Canadian cloud region when you need it, or on infrastructure you already run. Decided in discovery and written into the agreement.
Monitoring
Uptime, failed jobs, failed integrations and disk and queue health watched continuously, with an alert reaching a person before it reaches your team.
Backups, tested
Scheduled backups with a retention period you agree to, and a restore actually rehearsed on a schedule rather than assumed to work.
Security updates
Platform patches, dependency updates and version upgrades applied on a cadence, staged first so an upgrade never surprises the floor on a Monday morning.
A defined support allowance
A set number of support hours each month, stated in the agreement, covering questions, small fixes and configuration changes. Hours used and remaining are reported, so nothing is argued from memory.
A named owner and a review cadence
One person on our side who knows your system, and a periodic review of what the allowance was spent on and what should become a scoped enhancement.
Discovery First. Then One Phase At A Time.
Discovery, paid and written
We map requirements, data sources, integrations and the order of phases, and recommend the route — custom build or established ERP — with the reasons. You get the document either way.
Phase one goes live
The smallest scope that changes how a day runs — usually production and inventory, or purchasing and receiving — built, migrated and tested against your real data, including the awkward records.
Migration and controls
Data moved from the old system and the spreadsheets beside it, reconciled line by line, with the approvals, permissions and audit trail your controls require in place before cut-over.
Training the people who run it
Office, floor and management each learn their own view. A system the team routes around has not shipped, so this step has its own time in the plan.
Managed service begins
From go-live the system is monitored, backed up, patched and supported within the allowance. Everything beyond that is scoped as an enhancement, approved and scheduled.
One System For The Entire Back Office.
A general contractor across Edmonton and Calgary moved off spreadsheets, texts and memory onto one operations platform built around how they actually run projects — jobs, crews, approvals, documents and management visibility in one place, live in production. It is the shape of outcome this page describes: one system of record where there had been five and a spreadsheet. The result is client-reported.
Operational Software
The custom-build route on its own: jobs, customers, approvals and documents shaped to how you run, as a project rather than a managed service.
Systems Integration
Keeping the ERP you already have and connecting it properly to accounting, CRM and the field, so a record entered once is correct everywhere.
Customer & Partner Portals
The outside-facing view onto the same records — order status, approvals and documents your customers reach themselves.
Before You Book The Call.
Should We Build Custom or Implement Odoo or ERPNext?
That is what paid discovery answers, and we recommend with reasons rather than by default. When the way you work is the advantage — pricing rules, scheduling logic or a production flow a packaged model would flatten — we build a custom operational system around it and integrate the accounting and payroll tools you keep. When an established ERP already fits most of what you do, we implement and customise Odoo or ERPNext and run it for you under the same managed service. Either way the data stays yours and the plan is written down before engineering starts.
Does Our Accounting or Payroll Have to Move?
Your accounting and payroll run on the tools you already trust. The ERP feeds them — invoices, bills, inventory valuation and labour — through an integration, so nothing is keyed twice and the general ledger stays where your accountant expects it. Where a client wants finance inside the ERP, that is a scoped phase with its own controls and sign-off, planned with the people who close your books.
What Does the Managed Service Include?
Hosting where agreed, monitoring, backups with a rehearsed restore, security and version updates applied on a cadence, and a defined monthly support allowance stated in hours, with a named owner on our side. Hours used and remaining are reported each month. New modules, new integrations and major changes are enhancements — scoped, priced and approved separately — so the monthly fee stays predictable for both sides.
How Is This Priced?
Three lines, each on its own. Discovery is a fixed, paid engagement. Implementation is priced per phase and invoiced up front or at milestones. The managed service is a monthly fee sized to the hosting you choose and the support allowance you need. Scope drives all three, and the 30-minute call is where a real number gets put on it. The platform subscription for Odoo or ERPNext, where one applies, is the vendor's and is billed on your own account.
Who Owns the System?
Your data stays yours under every ownership model, and the records are exportable. For a custom build you can own it outright. For an implementation on Odoo or ERPNext, the platform is licensed by its vendor, and the customisations, integrations and configuration we write for you can be transferred to you. The model is settled in the agreement before engineering starts — our ownership page sets out the options.
Where Is It Hosted?
Where the agreement says. That can be the vendor's cloud, a Canadian cloud region when you need Canadian hosting, or infrastructure you already run. Hosting is decided in discovery against your data-handling requirements and what your own client agreements commit you to, and it is written into the managed service.
How Does Migration From Spreadsheets and the Old System Work?
Discovery lists every source: the old system's tables, the spreadsheets beside it and the records that only exist in someone's inbox. Each one gets an owner, a mapping and a reconciliation check, and phase one migrates only what phase one needs. Cut-over happens once the reconciled counts match and the people who use the data have signed off, with the old system kept readable until they are confident.
Start With Discovery.
Keep The Plan Either Way.
Thirty minutes, no deck. We will hear how production, stock and purchasing run today, say which route we would recommend and why, and put a real number on discovery before you commit to anything larger.
