Sort the Inbox Before It Reaches You.

Leads, tickets, RFPs, tender notices, service requests. They arrive in volume, in no order, and the expensive part is not answering them — it is reading all of them to find the few that matter. Triage does the reading, scores each one against what your business can actually deliver, and routes it, so a person's attention starts where it counts.

Where this usually starts

The Symptoms, Before the Diagnosis.

The good ones are buried

Everything arrives in the same inbox at the same priority. The opportunity worth a hundred thousand dollars looks exactly like the one worth two hundred until somebody opens both.

Reading is the bottleneck, not capacity

The business could deliver more work. What it cannot do is get through enough tender documents, enquiries or requests to find the work worth bidding.

Response time is losing you jobs

The enquiry that gets answered first usually wins, and a queue that is triaged by hand answers everything at the speed of the least interesting item in it.

Routing depends on who is looking

Where a request ends up depends on which person happened to open it, so urgent items wait and simple ones consume a specialist's afternoon.

What the build covers

AI Intake & Triage, in Scope.

Scope is set against your operation, not against this list — but this is the shape of a build in this line.

Read and classify what arrives

Inbound email, forms, documents and feeds read and categorised by type, urgency and subject, so the queue arrives sorted rather than raw.

Score against your real criteria

Fit assessed against what your business actually does — trade, size, geography, certification, capacity — rather than against a generic notion of a good lead. Those criteria come from you.

Route with the context attached

Each item reaches the right person with a summary, the key details extracted and the source document attached, so the first thing they do is decide rather than read.

A person makes the call

Triage orders the queue and never empties it silently. Everything is still visible, and anything the system is unsure about is escalated rather than filed.

How we approach it

The scoring rules come out of your own history, not out of a model's assumptions. Which jobs you won, which you should not have bid, and which you turned down for good reasons are a far better specification than any description of an ideal customer.

And nothing gets discarded. A triage system that deletes what it thinks is irrelevant is one bad classification away from losing your best job of the year, so low-scored items are ranked down and still reachable rather than removed.

The intended outcome

What It Looks Like When It Works.

Attention goes to the items worth it first, response times on the good ones drop to something competitive, and the volume that used to require reading everything stops being a limit on what the business can pursue.

Where the scope stops
  • We do not let a model discard inbound work. Triage ranks and routes; nothing disappears.
  • We do not auto-reply to a customer as though a person wrote it. Where a response goes out automatically, it is honest about what it is.
  • We do not set your qualification criteria. What counts as a good opportunity is a business decision; we implement it and make it visible.
Relevant proof

2–3h → mins

A demolition contractor · per bid submission, client-reported

An Alberta demolition and site-clearing contractor limited by bandwidth rather than capacity: the system watches every relevant procurement source and scores each opportunity against what the company can actually deliver, before an estimator opens anything. Client-reported.

Common questions

AI Intake & Triage, Answered.

What If It Scores Something Wrong?

It will, occasionally, which is why nothing is deleted and low-scored items stay visible and reviewable. Corrections feed back into the criteria, and the criteria themselves are yours to change — the system is a sorting aid, not a gatekeeper with final authority.

Can It Handle Tender and Procurement Documents?

That is one of the strongest cases for it. Tender documents are long, arrive constantly and are mostly irrelevant to any one contractor, which is precisely the shape of problem where reading is the bottleneck rather than capacity.

Does It Reply to People Automatically?

Only if you want it to, and only in a way that is honest about what it is. The default is that triage sorts and routes, and a person responds — the value is in what reaches them first, not in removing them.
